Overview
The Manage Invoice page is the 'main screen' of an invoice. It opens to provide a screen-based view of that invoice. It also provides users with a number of invoice-related functions that can be performed. The functions that are available for an invoice will vary depending on the invoice's status.
To access this screen users have one of two pathways:
Nav: Customer > List
- Click on the ID of a customer to open the customer record.
- Click the Invoices tab.
- Click on the ID of the invoice.
Alternatively, users can:
Nav: Finance > Accounts Receivable > Invoice List
- Use the search criteria to find an invoice
- Click on the ID of the invoice.
Invoice Functions
The full list of available functions are:
- View Invoice
- This function is always available. The function downloads and opens the PDF rendered version of the invoice.
- Approve
- You can approve an invoice if it is in the Pending and Rejected statuses. Approving an invoice creates the relevant journal entries and is sent to the customer via ther preferred invoice delivery method. Approved invoices cannot be modified in any way.
- Approve – Do Not Send
This is identival to the Approval status, however it does not send the invoice to the customer.
- Reject
To be rejected, Invoices must be in a Pending status. See below for more information on how invoice rejection works.
- Re-Render
Invoices can be re-rendered at any time. Any updates or adjustments made to the invoice template settings will be refkected on the latest re-rendered invoice.
- Re-Rate
You can re-rate an invoice if it is in the Pending and Rejected statuses.
- Dispute
Disputes can be raised against approved invoices only.
- Re-Send
Only approved invoices can be resent to the customer.
- Cancel
Returns the user to the Invoice list page.
- View Usage (depending on the service and cardline type) from the Manage Invoice page.
- Locate the invoice required in the invoice list in either the account record or in the Accounts Receivable module.
- Click the Manage link in the Action column of the required invoice. The Manage Invoice page will display.
To View an Invoice
- On the Manage Invoice page, click the View Invoice button. The Opening… download window will display.
- Select the Open with option to open the invoice with Adobe Reader.
- Select the Do this automatically for files like this from now on checkbox to perform the option selected automatically every time you download PDFs.
- Click the OK button. The invoice .PDF file will open in a new Adobe Reader window.
To View Usage on an Invoice
- In the Allocated Cardlines section of the Manage Invoice page, locate the required service usage cardline.
- Click the View Usage link beside the required usage cardline. The Service Usage page will appear in a new window.
- Filter the usage data by entering Start Date, End Date and selecting the required Tariff Type, as required, and then click the Filter button. The page will update to show the usage data corresponding to the criteria entered.
- To view the package, click the View Package Plan button. The package will appear in a new window.
- To view the service plan, click the View Service Plan button. The plan will appear in a new window.
- When complete, close the window.
Note: The Approve Rated Data Usage check box and the Approve Selected Data Period button should not be used unless the service plan has been set up with manual period approval, which is not used often.
